Spreading a Risk Management Culture – Enabling the End User

Collaborative technology to underpin enterprise-wide risk management

As risk professionals our aim in life is to get as many people as possible thinking about risk and how it impacts the business, every day. Engaging business users and risk owners may have been a challenge in the past, but with the latest collaborative tools that enable new, more efficient ways of working, it’s becoming much easier.

We are developing a series of tools and apps that will enable business users to collect risk information during the normal course of their day.  Information that will automatically populate ARM, meaning that pulling together paper reports and forms, ad hoc emails, random notes, white board scribblings and photos on people’s personal phones will be a thing of the past.

For example, with our new Mobile Incident Capture SNAPPit app, which any ARM user will be able to  download from the App stores (iOS, Android and Windows), hazards, accidents, incidents, observations and concerns can be captured on the spot and fed back to ARM in real time via Wi-Fi, 4G, or when the user is next online.

The advantage of this is that investigations can be started immediately, which could prevent further harm, and minor incidents or concerns are far more likely to get reported, simply because it is easy to do so.  Having all supporting evidence held centrally in ARM provides a complete audit trail of actions taken, and makes reporting to regulatory bodies much quicker. This helps to ensure that you are compliant with health and safety regulations, minimizing both lost work time due to injury and claims costs.

We are also developing a Risk Visualizer, a diagrammatical tool that enables the fast, easy capture of risk information, and then provides a powerful way to articulate the risk story. This is particularly useful when presenting risk to senior executives and the board because it shows risks visually with associated mitigations, plans and actions, causes, consequences and controls. Risk Visualizer will replace all those notes, spreadsheets, white board musings and mind-mapping apps that are currently used during Risk Workshop environments. It will make such meetings with business managers, project managers, risk owners and engineers much more productive.

The end result: Engaged users that willingly contribute to the risk management process, more detailed and accurate information, and more time for the risk manager.

In the video Risk Tracking with ARM we take you through all the common tools within ARM for tracking progress and ensuring data quality. The video looks at risk management status, quality of data, how to meet reporting cycles, matching your program and activity schedules, reminders on the desktop and email alerts.

Data quality is imperative when communicating risk information. ARM provides several tools to help you to monitor and improve data quality.  Many of these are to do with time, for example, when was a risk status last updated, if it was a few months ago, it probably needs further investigation. Another example is completeness of data.  ARM enables you to mandate certain fields, that way users are forced to complete them. Validated pick lists also ensure that responses are standardised, enabling easier better reporting, comparison and analysis.  Missing data can also be highlighted within the dashboard – for example a high risk with no plan.

ARM enables you to track risk history which means that you can:

  • Highlight changes and trends
  • Helps to predict future risk performance
  • Helps to focus on areas for process improvement
  • Provides date fields and tools to analyse quality of data that ensures risk reporting is effective.

If you’re looking to improve your ARM reporting and improve your data quality, this could be 30 minutes of your time well invested.  Simply log onto the Customer Support Portal, go to the Knowledge section, select the Training tab and you will see Additional Training videos.
